You might think how to use message writing in out daily life . How should you write a message. Every thing is discussed below:

There are many circumstances when we may confront lack of time like we are in a hurry to go out and do some work . But before going out we need to inform someone like our family , friend or the person who is incharge of the shop like shop owner that you are leaving from that place as you have some work . But what if the person is not present at that time. So how will you inform ? This is really a matter of concern .

But don't worry. You have got an option and that is you can leave a message for the person.

Message Writing :

A message is a writing skill which helps us to convey our message or small piece of information which we want to convey to the person when we are unable to speak to the person because of his absence at that location and situation.

In this case we try to leave message for the person so that we can inform him and give him the information for the sake of future events and all things go on smoothly in future in our absence. 

Messages are short form of information which try to convey point to point information. Whatever one wants to say should be conveyed and said directly . One should not write a long message.

Rules to be followed:
  1. Messages are written in a box.
  2. Mention date and time properly.
  3. Write precisely . Don't try to exaggerate.

Format :

The message includes:
  1. Message - Write the top heading i.e. MESSAGE.

  2. Date - It refers to the current date when you are writing the message. The date should always be written in the form date in number , month in words and then year. Eg - 13 September , 2020 

  3. Day - It refers to the current day when you are writing the message. The day should be right aligned only.

  4. Time - It refers to the time when you are writing the message and dropping it for the person concerned. The time should also be written in proper format that is with proper meridians like a.m. or p.m. It will help the person know more appropriately when you wanted to convey the message to him.

  5. Salutation / Name of the person for whom message is being written - It refers to the person for whom you are writing the message. The person might be one belonging to some higher authority or one of the family member, an employee or your friend or anyone depending on the situation for whom you are writing the message.

  6. Body/Content - It refers to the necessary information you required in the message .

  7. Name - It refers to the name of the person who is writing the message . 
This is format of message.

Format of message writing

Ques  Read the following telephone conversation that took place between the sales man of an electrical appliances' shop and an unsatisfied customer. The manager is away from the shop. The sales man leaves a message for him . Write the message using not more than 50 words.

Customer : Is that Taj Electrical Appliances?

Salesman : Yes, madam. What can I do for you?

Customer : I have got a problem with the hair drier that I bought last week.

Salesman : I'm sorry to hear that . What is the problem?

Customer : Well, first of all , I ordered it two months ago but I received it only last week . Secondly , I find it useless.

Salesman : Does it work?

Customer : It doesn't dry my hair. When I switch it on, it just goes 'buzzzz' but it does not get hot at all.

Salesman : Madam I apologize . We'll be happy to replace the drier for you or we'll give you a refund instead.

Customer : Oh , great! I'd like a refund then.
